JOB PURPOSE

The Enterprise Administrative Assistant successfully provides administrative support to managers and employees of the enterprise, and serves as the primary customer point of contact over the phone and in person.

Increase productivity and efficiency of various departments by:

Appropriately handling mail, email, and fax deliveries both to and from the proper handlers, i.e. post office, FedEx, UPS

Providing back-up support for co-workers when appropriate

Showing the ability to handle several duties throughout the day

Ensures accurate accounts receivable and accounts payable activity by:

Printing and mailing out Willborn warehouse invoices

Creating customer locations, shipping addresses, and billing accounts in enterprise software suites and ensuring information is accurate

Attaching vendor checks in enterprise accounting software suite

Billing Davidson Oil and Flying Star branded customers for pass-through charges

Properly diagnose customer/vendor needs by:

Warmly responding to requests and handling with courteous demeanor

Assessing customer needs and desired outcomes

Ensure smooth operations for office by:

Purchasing, distributing, and storing necessary office supplies for productivity

Keeping supply storage areas clean and organized

Cleaning and organizing all conference rooms and printing off following day's conference room calendars

Accurately entering Willborn service and construction technician timesheet data into HRIS system

Dispatching Willborn service work orders

Making follow-up calls to Willborn service customers to ensure all their needs have been met

Maintain a clean and hygienic office atmosphere by:

Ensuring the cleanliness and hygienic upkeep of the kitchens and break areas

Maintaining a well-organized, clean, and efficient work area

Creating and maintaining a pleasing and welcoming reception area

Organizing the shredding of sensitive documents

Maintain and increases external and internal customer satisfaction by:

Demonstrating a highly developed sense of integrity and commitment to customer satisfaction.

MINIMUM QUALIFICATIONS

Must have experience in an office setting

Must be able to pass pre-employment drug and background checks

Must have high school diploma or GED

Must have basic computer knowledge in programs such as Microsoft Office

PHYSICAL REQUIREMENTS & ENVIRONMENTAL CONDITIONS

Exerting up to 20 pounds of force occasionally, and/or up to 10 pound of force frequently, and/or a negligible amount of force to constantly move objects.

Required to have close visual acuity to perform activities such as preparing and analyzing data and figures, viewing a computer terminal, reading and visual inspection.

The worker is not substantially exposed to adverse environmental conditions.
